Cancellation and Refund Policy

Envito Events Private Limited (“Envito”, “we”, “our”, or “us”) provides AI-powered guest relations and event-management services (the “Services”). The Services are offered under two pricing models:
- Per-Event Plans — a one-time fee tied to a specific event (such as a wedding, private celebration, or corporate event); and
- Subscription Plans — a recurring monthly or annual fee that grants ongoing access to the Services.
This Cancellation and Refund Policy (the “Policy”) explains how cancellations are processed and when refunds are issued under each model. This Policy should be read together with our Terms of Service and Privacy and Data Security Policy. Capitalised terms not defined here carry the meanings given to them in our Terms of Service.
1. Scope
This Policy applies to Hosts and corporate clients who purchase a paid Per-Event Plan or Subscription directly from Envito. It does not apply to:
- Free trials, free plans, demo accounts, or evaluation accounts (which may be cancelled at any time without charge);
- Custom enterprise agreements, statements of work, or order forms, which are governed by their own commercial terms;
- Third-party fees (such as WhatsApp conversation charges, payment gateway charges, or taxes) levied by the relevant third-party provider or authority and that Envito is unable to refund.
2. Pricing Models
2.1 Per-Event Plans
A Per-Event Plan is a one-time engagement scoped to a specific event. The fee covers Envito’s setup, configuration, AI concierge deployment, and Guest interactions for that event (and any defined pre-event and post-event window).
2.2 Subscription Plans
A Subscription is billed monthly or annually and grants the Host access to the Services for the chosen billing term. Subscriptions renew automatically at the end of each term unless cancelled (see Section 7).
3. Cancellation by the Host
A Host may cancel a Per-Event Plan or a Subscription at any time by writing to us at contact@envito.ai from the registered email address of the Host, with the account details and the reason for cancellation.
For Subscriptions, the Subscription will remain active until the end of the then-current billing term and the account will not be charged for subsequent renewals. For Per-Event Plans, refund eligibility depends on the timing of the cancellation request relative to the event date (see Section 5).
4. Refunds – Subscription Plans
4.1 Monthly Subscriptions
If a Host is dissatisfied with the Services within the first seven (7) days of the first monthly billing cycle of a new paid Subscription, the Host may write to us at contact@envito.ai. We will first attempt to address the issue or offer a workaround. If the Host remains dissatisfied, we will issue a full refund of the monthly subscription fee paid for that cycle and downgrade the account.
Beyond this seven (7) day window, monthly subscription fees are non-refundable. Cancelling a monthly Subscription mid-cycle will stop future renewals but will not result in a prorated refund for the unused portion of the current month.
4.2 Annual Subscriptions
Annual Subscriptions are offered at a discount in exchange for an upfront commitment. If a Host is dissatisfied with the Services within the first fifteen (15) days of a new annual Subscription, the Host may write to us at contact@envito.ai. If we are unable to resolve the concern, we will issue a full refund of the annual subscription fee and downgrade the account.
After the first fifteen (15) days, annual subscription fees are non-refundable. Cancelling an annual Subscription mid-term will stop the next renewal but will not result in a prorated refund for the unused portion of the current term, except where required by applicable law or where Envito materially fails to deliver a core feature available at signup and is unable to resolve the issue within a reasonable period (in which case a prorated refund may be issued for the remaining term).
5. Refunds – Per-Event Plans
Because Per-Event Plans involve event-specific setup, configuration, and AI concierge deployment that begin as soon as the Plan is booked, refund eligibility is tied to how far in advance of the event date the cancellation request is received.
- More than thirty (30) days before the event date: Full refund of the Per-Event fee, less a non-refundable setup and onboarding charge (where applicable) and any third-party charges already incurred on the Host’s behalf.
- Between fifteen (15) and thirty (30) days before the event date: Refund of fifty percent (50%) of the Per-Event fee, less any third-party charges already incurred on the Host’s behalf.
- Less than fifteen (15) days before the event date: No refund, as event-specific work (including AI configuration, Guest list onboarding, and WhatsApp template provisioning) will have been substantially completed.
- After the event has begun or concluded: No refund.
5.1 Event Postponement by the Host
If the Host postpones the event and notifies Envito at least seven (7) days before the originally scheduled event date, the Per-Event fee will be applied as a credit toward the rescheduled event, provided the rescheduled event takes place within six (6) months. Any incremental work required to accommodate the new date may be charged separately.
5.2 Event Cancellation Due to Force Majeure
If the event is cancelled due to a force majeure event (such as a natural disaster, government order, or other circumstance beyond the Host’s reasonable control) notified to Envito at least seven (7) days before the originally scheduled event date, Envito will issue a credit equal to the Per-Event fee (less any third-party charges already incurred), valid toward a future event within twelve (12) months. Cash refunds in such cases will be considered on a case-by-case basis.
5.3 Service Failure by Envito
If Envito fails to deliver the core Services agreed for a specific event (for reasons attributable solely to Envito and not to the Host, Guests, or third-party providers), the Host may request a full refund of the Per-Event fee paid for that event.
6. Auto-Renewal (Subscriptions Only)
Monthly and annual Subscriptions renew automatically at the end of each billing term using the payment method on file, unless cancelled before the renewal date. We will send a renewal reminder to the registered email address of the Host before each annual renewal.
If a Host forgets to cancel and is charged for a renewal, the Host may request a refund of the renewal charge within five (5) business days of a monthly renewal, or within fifteen (15) days of an annual renewal. Requests received after these periods will not be processed, including on a prorated basis.
Per-Event Plans do not auto-renew.
7. Downgrades and Reduction of Usage (Subscriptions Only)
If a Host downgrades a Subscription plan, reduces the number of users, or removes paid add-ons during an annual term, the change will take effect from the next billing cycle. Envito does not refund the difference in fees for the remaining portion of the current annual term. For monthly Subscriptions, downgrades take effect from the next monthly billing cycle.
8. Refund Method and Timelines
Refunds, where payable, will be processed to the original mode of payment used for the purchase. Depending on the payment gateway and the Host’s bank, refunds typically reflect in the original account within five (5) to ten (10) business days of being initiated by Envito.
Refunds are issued net of applicable payment gateway charges, bank charges, currency conversion fees, and any non-refundable taxes.
9. Exceptions – No Refunds
No refunds (full or prorated) will be issued in the following cases:
- Where an account has been suspended, terminated, or blocked due to a violation of our Terms of Service, including (without limitation) misuse of the WhatsApp Business Platform, breach of platform policies, fraud, impersonation, phishing, or unlawful activity;
- For dissatisfaction with features or functionality that were clearly described as unavailable, in beta, or on a roadmap at the time of purchase;
- For third-party charges (including WhatsApp conversation charges, payment gateway charges, and applicable taxes) that Envito has paid to third parties on behalf of the Host and is unable to recover;
- For free trials, free plans, or promotional credits, which carry no monetary value and are non-refundable;
- For Per-Event Plans where the event has already begun or concluded, or where the refund request falls within a no-refund window under Section 5; or
- For Per-Event Plans where the Host fails to provide required Guest data, content, or approvals within the timelines communicated by Envito, and the event proceeds without the affected Services as a result; or
- For Custom AI Avatar development, once Envito has commenced the work. Such work involves upfront effort, third-party tooling costs, and dedicated production time, and is therefore non-refundable from the point of initiation, irrespective of whether the related event or Subscription is subsequently cancelled.
10. How to Request a Refund
To request a refund or raise a billing concern, please write to us at contact@envito.ai from the registered email address of the Host, with the following details:
- Registered account name, email address, and registered mobile number;
- Invoice number or payment reference;
- For Per-Event Plans, the event name and date;
- Reason for the refund request.
We will acknowledge refund requests promptly and, where a refund is payable, initiate it within seven (7) business days of confirming eligibility.
11. Data on Cancellation
Cancellation of a Per-Event Plan or Subscription does not, by itself, delete the Host’s account or the data within it. The retention and deletion of personal data following account closure are governed by our Privacy and Data Security Policy.
12. Changes to this Policy
Envito may update this Policy from time to time to reflect changes in our pricing, our Services, or applicable law. Any changes will be posted on our website with an updated “Last updated” date and will apply prospectively to Per-Event Plans and Subscriptions purchased or renewed after that date.
